Correspondence Management System

TrueTandem is leading the transition of the Environmental Protection Agency’s (EPA) legacy correspondence management system, OpenText-Documentation, to a modern, cloud-based SaaS platform. This new platform will serve approximately 2,400 registered users across 23 EPA program and regional offices, with 450 core daily users. The solution enhances efficiency, agility, and innovation, improving how the agency scans, logs, routes, tracks, and stores incoming and outgoing correspondence. By leveraging Power Platform, Azure, and advanced AI capabilities, TrueTandem is helping the EPA streamline communication processes, improve responsiveness, and reduce operational costs. 

TrueTandem was awarded a Task Order on our EPA BPA vehicle to build and implement the new enterprise-wide Case and Correspondence Management System (called Quill) for the EPA OEX to replace a 20+ year old legacy system, OpenText-Documentum. The EPA’scorrespondencesystem out of the Office of the Administrator (OA), Office of the Executive Secretariat (OEX) plays an integral part in the way the agency responds to citizen’s inquiries and other entities when contacting the agency. Itallows the agency to effectively manage itscorrespondenceinternally, with the White House, Congress, other federal agencies, state and local governments and respond to the needsof the public in a timely manner.TrueTandem’s replacement system, Quill, includes case, correspondence, and task management with automated notifications, workflow as a service (routing), Adobe e-signature ++integration for final responses, dashboards, and reporting, and meets all requirements of EPA OEX. It is used to track, manage, and process incoming and outgoingcorrespondencein all 23 program and regional offices at EPA, serving approximately 2,800 users across the agency. With the modernization of the system by TrueTandem onto the MS Power Platform, EPA-OEX also anticipates scaling this number of users higher across the agency. We have a strict, responsive methodology for managing systems operations, ticket resolution, stabilizing applications, and driving down service tickets. Our team of experts delegates tickets to the correct professional, ensuring a rapid response and issue resolution. TrueTandem also provided the EPA’s Quill Application with continuous product improvement in an Agile Scrum environment including system updates/releases, enhancements, fixes, patching and modifications of the system over time.
